Planning Administration Team Leader
I. Planning.
- Making General Director’s weekly and monthly schedule;
- Making arrangements for internal and external meetings, workshops and events;
- Making arrangements so that meetings venues are well equipped;
- Draft letters of invitation to events;
- Making minutes of meetings for the General Director;
- Manage and follow Database activities of company;
- Responsible for daily staff planning: production planning; monitoring the flow of
personnel; tracking absenteeism data;
- Preparing daily, weekly and monthly report for Viettel Group.
II. Administration
- Supervise employees of the back office and the receptionist;
- Preparing all documents of Burundians regarding work related travels in Burundi and
abroad;
- Preparing all documents of foreigners regarding their departure or arrival in Burundi;
- Making arrangements for the travels of colleagues like booking hotels, buying tickets, etc;
- Use ERP system to justify all expenses of the department;
- Organize office cleaning by supervising the work of the cleaning service;
- Buying all materials used for daily activities at the Company;
- In charge of repairing all materials in the Company;
- Evaluate and Inventory of company needs;
- Receiving the request for office supplies from all departments and buying the office
supplies;
- Work with Finance department to pay invoices from partners;
- Maintain petty cash;
- Ensuring the payment process of all goods and services;
- Supervising all contractors' employees;
- Coordinate all company purchases;
- Coordinating with the drivers to clear the invoices of the fuel used and maintenance as
per regulation;
- In charge of transfer procedures when the Company bought or sold cars and bikes;
- In charge of controlling the books of drivers before giving them to Finance department;
- Monitoring policies' implementation;
- Responsible for administrative processing of all personnel information.
III. Human Resources
- Implementation of HR strategies and policies;
- Set up training of staffs;
- Participating in the recruitment processes including job descriptions and interviews;
- Performance management and career development by identification of staff learning &
development needs;
- Direct interlocutor for employees: search for appropriate solutions for career
development; policy communication and transfer;
- Responsible for coordination and actively participate in HR projects.
